 User license agreement  

Access to WHSMS is either a 3 or 12 month period subject to the terms and conditions associated the use of WHSMS.

We have taken into account the financial costs imposed upon a business in today's economic climate and structured our fees accordingly for the provision of an affordable, recordable and manageable occupational health and safety management system.

How it works

WHSMS is served to you on the web via the Workplace Health and Safety WHSMS platform.

  • No software to download or CD-Rom to activate WHSMS, just a username and password.
  • We monitor, maintain and amend WHSMS, which leaves you to get on with the job.

WHSMS access

To obtain access to WHSMS all you have to do is complete the WHSMS Group User License application for the number of licenses required by your organisation and select the appropriate payment option for use of WHSMS.

  • We cut costs not corners. You get a discount when you purchase licences for 20 or more users!

Acceptance of agreement

Following receipt of your WHSMS Group User License application, a WHSMS parent group user account shall be created for your organisation.

The WHSMS group user license agreement is a legally binding contract between the user and workplace health and safety (the supplier) as per the terms and conditions assigned to the license agreement.

Issue of username and password

The applicant for the group user license shall be sent an email with a unique username and password to access WHSMS.

  • A username and password shall only be forwarded to the email address provided in the agreement.
  • Usernames and passwords shall not be transmitted to persons by telephone or facsimile.
  • By entering the username and password provided in the agreement, the subscriber is able to access WHSMS and it's associated monitoring and reporting mechanisms.

Establishing additional groups or workplaces

A WHSMS group user is assigned access to the organisational parent group and may create child groups on the proviso that they report to a parent group.

WHSMS is a controlled OHS management system that can be accessed by any workplace or group number of workplaces where its conducts a business undertaking.

  • The addition of a child group to a parent group empowers an organisation to establish and implement WHSMS at any number of workplaces.
  • A child group can be a parent group within an organisational management reporting structure and have child groups assigned to it.

Example

A principal contractor (parent group) for a construction workplace can create any number of contractors, suppliers (child group) accounts.

  • WHSMS monitors the occupational health and safety performance of any size workforce or workplace in real time to negate confusion and excuses.

User licenses

A parent group administrator can allocate any number of persons or users to the parent group and/or nominated child group/s.

  • Each person or user is identified as an individual user license and has a unique username and password to access WHSMS.
  • A user is assigned specific read and write privileges to a parent group and/or child group/s.

Use of username and password

The username and password assigned to a person for access to WHSMS is recorded in the WHSMS database.

  • It is the responsibility of the user to ensure that this information is not disclosed or provided to a third party.
  • It must be kept secure at all times.
  • The security and protection of the information and data stored on the WHSMS database is imperative.

Suspension of account

An assigned or allocated username and password used concurrently shall suspend the user account upon which an administrative fee for the re-establishment of the user license shall be incurred where this occurs on more than 3 occasions.

Schedule of fees

The fee structure for use of WHSMS is simple with no hidden costs incurred by the user for amendments or updates.

Upon receipt of the WHSMS group user license application for the deployment and establishing of a WHSMS Group User License.

  • A one off fee of $99.95 AUD (ex GST) for 3 months WHSMS access or $299.95 AUD (ex GST) for 12 months WHSMS access shall be charged to the WHSMS Group nominated credit card.

Additional user licenses

A WHSMS group administrator may add as many individual user licenses to the parent group and/or child group/s as required or needed subject to the terms and conditions and schedule of fees for the use of WHSMS.

  • For groups with greater than 20 employees or users WHS offers significant discount.

Payment of monies

The WHSMS group user shall ensure that there are sufficient funds on the credit card as nominated in the agreement to cover the payment of the required user license/s.

Additional charges
 

A fee of $30.00 AUD (ex GST) shall be incurred for the reactivation of a user license where a username and password assigned to a user has on more than 3 occasions been used concurrently to access WHSMS.

Further information

Workplace Health and Safety reserve the right to amend and alter the fees and terms and conditions of access for a WHSMS group user license and that of an individual license assigned to a parent group or child group of a parent group.
